Database test

From: abacus00 (abacus00@yahoo.com) | Date: 2003-08-08 01:53:12 UTC
I've set up a new Database on the group website called Box
Status. Is there anyone who would like to test it and see
how it works for those status reports? It's an option that
separates out the routine reports, but still keeps everything
together on the same site.

It is possible to sort on any of the fields by clicking on
the field name. You can also export the table and play around
with it off-line.

I've used the following fields:
Box Name
State
City
Date
Finder
Status
Comments

To add a record:
Click on Database in the lefthand menu on the Letterbox-usa
Group website.
Click on the Box Status.
Click on the Add Record button.
Enter the data you wish to add.
Click on Add Record.

Let me know what you think.

Mahjong, the database looks great. Thank you for setting this up!

Finally, an intelligent use for all of us that have been
kvetching so long for box status reports. THANK YOU!
I do have 1 question. When I hit delete am I deleting the box
report for all? At first I thought the edit and delete was going to
show up only if you reported the box. Hope you understand what I'm
asking.

There are only two settings for "edit" of a Yahoo database --
everyone can edit or only I can edit. It seems it is possible
to edit the posts of others if it is set so you can edit. I
feel people would get too frustrated if they can't edit their
own posts. If cross editing or deleting doesn't become a
problem we can leave it that way.

I am going to extract data on a semi-regular basis and post
in the Files section as an Excel spreadsheet. That can serve
as a backup, but will also be available for those who would
like to have the information available off-line.

Another editing question... If we go to a letterbox that is already
in the database, do we "edit" it, and put the most recent report in,
or do we make a new entry?

I'm thinking that it would be a new entry. That way it would be
possible to track how many mia reports had come in on a box, or
if there were a variety of comments on how difficult the trek
was, etc. If the database gets very large, we might have to
archive some of the records when there are multiple reports on
a box. We can let this evolve and see where it goes, but for now
I would say make a new entry.

The Database is within the Letterbox group on the Yahoo Groups
site. Once you log in and select the letterbox-usa group, look at
the menu on the left side of the screen. One of the options is
Database. Choose that and look for the 'Box Status' database.

Or, you can just follow this link:

method=reportRows&tbl=5

Now I have about 40 letterboxes. Do I just add them, if I want. Also an area my have three letterboxes in it. Is this considered one or three?

Yes, you can add your finds to the database. Adding boxes
individually is more work, but you can do that if you want.
You may find it easier to make a series one entry if you
found them on the same trip. I wouldn't make unrelated
boxes one entry even if they are in the same area.
